1. Introduction

Welcome to Auto Request Services SRL (Tax ID: 43842894), operating under the trading name NapocaRent! This delivery policy describes our vehicle pickup and delivery process. We are committed to providing flexible and convenient services to meet your travel needs.

This policy applies to all vehicle rentals made through our website or through our customer service representatives.

2. Delivery Options

2.1 Location Pickup

You can pick up your vehicle from one of our locations:

  • Cluj-Napoca International Airport (CLJ)

    Available 24/7 for all flights

  • Central Office - Strada Traian Vuia nr.135, Cluj-Napoca

    Hours: Monday-Sunday, 00:00-24:00 (non-stop)

2.2 Free Airport Pickup

We offer free pickup at Cluj-Napoca Airport for all confirmed reservations. This service includes:

  • Personalized meet & greet in terminal with your name
  • Luggage assistance
  • Quick transfer to vehicle
  • Document verification and fast processing

Note: For airport pickup, please provide your flight details when making your reservation. In case of flight delays, we will wait for you at no additional cost.

2.3 Address Delivery Service

We can deliver the vehicle to your address in Cluj-Napoca and surrounding areas. This service is available upon request and may include additional costs depending on distance:

  • Cluj-Napoca (city center and nearby neighborhoods)

    Free for rentals of minimum 3 days

  • Areas outside Cluj-Napoca (up to 20 km)

    20-40 EUR, depending on distance

  • Greater distances

    Upon request - contact us for personalized quote

4. Required Documents at Pickup

To pick up the vehicle, you must present the following documents:

  • Valid Driver's License

    Category B, obtained at least 1 year prior. For certain premium vehicles, 2-3 years of experience may be required.

  • ID Card or Passport

    Valid identification document. For foreign citizens, passport is required.

  • Credit or Debit Card

    Required for security deposit. Card must be in the name of the person renting the vehicle.

  • Booking Confirmation

    Reservation voucher received via email or reservation code.

Important: All documents must be valid for the entire rental period. Driver must be at least 21 years old (or 23 years old for premium vehicles). For ages under 25, a young driver surcharge may apply.

5. Vehicle Inspection Process

5.1 Pickup Inspection

At pickup, together with our representative, you will conduct a complete inspection of the vehicle:

  • Exterior check: body, mirrors, windows, tires
  • Interior check: seats, dashboard, equipment
  • Fuel level (typically, vehicle is delivered with full tank)
  • All systems operation: lights, air conditioning, radio
  • Complete documentation: registration certificate, insurance, vehicle identity card
5.2 Photographic Documentation

Our representative will take detailed photos of the vehicle before handover. We also recommend you take your own photos for your personal records. Any existing defects or scratches will be noted in the delivery-acceptance report.

5.3 Fuel Policy

Full Tank to Full Tank: The vehicle is delivered with a full tank and must be returned with a full tank. If the vehicle is not returned with a full tank, the cost of missing fuel plus an administrative fee of 20 EUR will be charged.

6. Delivery Timeframes

6.1 Standard Pickup

For reservations made at least 24 hours in advance, we guarantee vehicle availability at the agreed time and location. We recommend booking at least 2-3 days in advance, especially during peak periods (holidays, vacations).

6.2 Express Pickup (Same-Day)

We offer same-day rental service, subject to availability. Please call us at +40 774 520 328 to verify availability. For express service, an additional fee of 30 EUR may apply.

6.3 Airport Pickup - Timing

For airport pickup, our representative will wait for you in the arrivals area with a sign bearing your name. Please inform us:

  • Flight number and estimated landing time
  • Call us at +40 774 520 328 30 minutes before landing
  • Estimated time for baggage claim and customs clearance

Free Waiting Period: We will wait for you free of charge up to 60 minutes from the scheduled landing time for domestic flights and up to 90 minutes for international flights.

7. Special Circumstances

7.1 Flight Delays

We understand that flight delays are beyond your control. Please inform us as soon as possible about any changes to your flight schedule. We will adjust the pickup time at no additional cost.

7.2 Late Arrivals (after 11:00 PM)

We are available 24/7, including for pickups after 11:00 PM. For pickups between 11:00 PM-06:00 AM, please confirm at least 4 hours in advance to ensure our representative is present.

7.3 Schedule Changes

If you need to change the pickup time or location, please contact us at least 24 hours in advance. Changes are free if requested at least 24 hours before the scheduled pickup time. For changes requested within 24 hours, a fee of 25 EUR may apply.

7.4 No-Show

If you do not show up at the agreed time and location and do not contact us within 2 hours of the scheduled time, the reservation will be considered cancelled (no-show). In this case, our cancellation policy applies. No refunds are given for no-show situations.
